Plain-English Summary: You use Adjudica Intake to classify and organize case documents. The AI assists you — it doesn't replace your professional judgment. Credits buy AI processing, not results. Your corrections make your AI smarter. You can delete your data anytime.

1. What Adjudica Intake Does

Adjudica Intake is an AI-assisted document classification and case summary tool for California Workers' Compensation legal professionals. It uses AI to classify documents, extract key facts, and generate case summaries. You review and verify all AI outputs.

The AI is the assistant. You are the professional. Your judgment governs.

2. Professional Responsibility

All AI-generated classifications, summaries, and master documents must be reviewed by a licensed attorney or qualified paralegal before use in any legal proceeding, filing, negotiation, or client communication. Adjudica Intake is a productivity tool, not a substitute for professional judgment.

  • You are responsible for verifying all AI-generated content.
  • You are responsible for ensuring document classifications are accurate.
  • Adjudica Intake's outputs carry the disclaimer: "AI-generated. Verify before use in legal proceedings." That disclaimer is there for a reason.

3. Credit System

Adjudica Intake uses a credit-based pricing model. Credits are consumed when AI processes a document (classification + extraction), not when you review it.

  • Free credits: 3 free credits per law firm (not per user). Non-expiring.
  • Purchased credits: Pool is shared across all firm members. Admin can see per-user consumption.
  • Non-refundable, except when AI processing fails (status: FAILED). Failed documents do not consume a credit, or the credit is automatically refunded.
  • No subscriptions. You pay for what you use.

4. Your Data and AI Personalization

When you correct an AI classification, we record that correction. This is how your AI gets better over time — for your practice, not as a generic model.

What we store: The original AI classification, your correction, and a structural text sample (up to 500 characters of non-PHI text — document headers and form labels, never clinical content or identifying information).

What we never store: Document content, client names, medical diagnoses, or any Protected Health Information.

Aggregate contribution (opt-in): You can choose to contribute anonymized, aggregated correction patterns to improve Adjudica's shared classification model. This is always opt-in, clearly disclosed, and revocable at any time in Account → Privacy. Individual corrections are never shared — only anonymized statistical patterns.

5. HIPAA

Adjudica Intake is designed for HIPAA compliance. All AI processing occurs on Google Cloud under a Business Associate Agreement (BAA) covering Google Cloud Storage, Cloud SQL, and Vertex AI (Gemini). Document files are stored encrypted at rest and deleted after 90 days. No PHI is retained in correction patterns or analytics data.

Your law firm is responsible for ensuring Adjudica Intake is used in a manner consistent with your firm's own HIPAA obligations, including appropriate workforce training and minimum necessary access.

6. Limitation of Liability

Adjudica Intake is provided as-is. Glass Box Solutions is not liable for errors in AI-generated classifications or summaries, or for any consequences arising from reliance on AI outputs without appropriate professional review.

Our total liability for any claim is limited to the amount you paid for the specific credits consumed by the transaction giving rise to the claim.

7. Changes to This Agreement

We'll notify you by email at least 30 days before any material change. Continued use after the effective date constitutes acceptance. You can always delete your account if you disagree with an update.

8. Governing Law

This agreement is governed by the laws of the State of California. Disputes are resolved in Los Angeles County courts.
